My new blogA new era has come upon my blog. I am leaving my proper pants blog on blogspot and move to my new blog at www.nevermindthemanager.com. I have been blogging since June 2008, and I am getting closer to my post nr 100. So far more than 5500 people from 97 countries have read my blog.

First of all I would like to pass on some practical information: My RSS feed have gotten a new address, this is: http://feeds2.feedburner.com/NeverMindTheManager

I will no longer allow comments on the Proper Pants blog. To comment please visit www.nevermindthemanager.com

Why the name ”never mind the manager”?

I had a brainstorming session and ended up with five alternatives, and never mind the manager was directly influenced by the name of an album recorded by a British Punk band. This was their only studio album released in November 1977. If you know what band, use the comment field.

Another thing I liked about this name is that there is a new kind of managers surfacing today, this people are more team players and coaches than the traditional ruling manager. This is also something close to my own style, so all together this name is fun, reminds me about some of my favorite music, and also help me to keep in mind the new style of leadership.

Thank you all for reading, and keep on reading. I do hope you like my new blog. Welcome to http://www.nevermindthemanager.com

Why don’t you just change!

Why don’t you just change! After warnings, written warnings and clear feedback on the need for change, why don't you just change? How hard can it be? As a manager you can feel the frustration inside like a steam boiler under pressure. Why do you have to keep doing this destructive behavior? IT IS GOING TO COST YOU YOUR JOB!

If you have these employees in your staff, fire them, fire them at once. They will only grow like weed in a garden if you let them keep doing what you actually tell them not to do, being not following routines, arriving late to work or pissing of customers.

Sometimes it happens, your top performer have a hiccup in the overall performance, she arrives late all the time, you have been giving hints, trying to talk to her in a polite manner and even given a written warning. And still no change! What the.. is it really possible? If you fire her production will drop by 10 % it will be noticed in your overall results. And maybe you just like this person as well.

You got a dilemma on your hands

If you fire her, the results will drop, if you let her stay, she wins, and learn that a written warning can be used as a paper plane. She is a star performer, always create happy customers and always answer more calls than the rest. Why can she not get her act together and come in early.

What can be wrong

She might not be motivated? But of course you have already talked about this. The pay might be to low? But you can't change that. Sleeping disorders? You probably read about this up and down, and tried talking about it? Is the rush hour to heavy? Can she wake up a bit earlier? Get a new alarm clock? (I once had a manager that gave alarm clocks as a "price" to those who came late, as a symbolic warning, of course it was preset) Nothing seems to work.

Do not do this under any possible circumstance

Do not reward people for arriving on time; do not reward behavior that is expected in the first place. I once tried to put all the names on a white board. As they arrived late they had to remove their own name from the board. The last one standing would get a price. This only resulted in me knowing the group of people that never arrives late for work, and I learned never ever to do this again. The boss – The employees 0-1.

Do not back down from a written warning, even if it is the star player that can't obey the rules. If they fail within the quarantine, get them out of the building as fast as possible.

Be preventive

When you first meet your employees, within the first couple of days you should hold a meeting and tell them what you like, and what you do not like, so they can get a chance to get to know how to act around you. Give them a clear answer to what will happen if they break the rules.

Talk with them about the problem before a written warning is issued. I once had an employee with sleeping disorder and he was always late for dayshift. He was of course also a star player. We came up with a solution that he worked only the evening shift, worked for him, worked for me, and worked for the people that traded away the evening shift with a dayshift.

If you have employees that for some reason have trouble following routines, find someone that suffers because of this. Get the person to sit next to the "victim" so they can see for themselves what their unfinished work results in, maybe they learn to follow the routines if they know what it leads to.

Do you have employees that do not seem to manage to deliver the required amount of work? Are you sure that they understand what to do? I have had employees that can handle a bunch of tasks as long as they are explained and put on their desk, but if I do not do this, he is out of work fast. I had to teach him how to refill. He also needed a very clear job description.

Have monthly follow up talks. These talks should have a predesigned agenda. This is where you talk about results and motivation. If there is something that is wrong you will be able to spot it fast, and put it down in writing. Remember this provides an obligation for both, for him/her to improve and for you to make it possible to improve.

So it all failed, huh?

Did all your efforts end up in tragedy? Well there is really just one thing to do. Fire them; do not hesitate on this decision, because otherwise it will come back to haunt you. With the current economical times, there are a lot of available employees on the market that want a job, no reason to wait.

So you’ve just got your first job, huh?

Your job does not bring you dignity, you bring dignity to your jobYou passed the nerve wrecking job interview and you are just about to start at your new job, what do you do? I will try to give you some pointers from managements view. I will relate this to my experience from sales and call centre life. I have been working with sales for almost 20 years, and I currently manage a call centre crew going on for the third year. So this article will be most useful for people with none or little education. Hopefully highly educated people just about to start a career might get something out of it as well. And if you happen to be management this is what you need to teach new employees.

Do never ever be late for your first day!
If you arrive late for your first day at work you are in big trouble, the very first impression on your new boss and your new co-workers are very important. You do not want to start this way.

Get a haircut and dress up
When you are at the job interview try to, if you can to spot what others are wearing and how they dress, you do not want to look like a slob compared to the other people around you. Get a new shirt or some new clothes; this will also help build your own self esteem. Try to look your best, but do not show up in a suit, unless you see such garments being used by others. Try not to overdo your style.

Empower yourself
Depending on how much time you have between being hired and the first day at work; try to buy some books about your new trade. If you start as a sales rookie, you will get training, but extra knowledge might give you a head start. Buy a book about sales techniques, and also magazines that are relevant to the products you will be selling. Try to learn as much as possible outside your job, about products, about selling. Go visit the competition as a customer and be an interested customer and try to pick up the things that impress you. In this matter you will learn about the products, prices and what the competition is doing. If you are starting to work in a call centre, buy a book about call centre strategies, in this way you will easily understand more about your new trade. Continue to learn and read about your new trade as long as you work there and remember you will never learn enough. Buy books about customer care. Do not learn products half way. Learn everything about your products, learn them inside out, test them and get to know them good; this knowledge will make your job so much easier. You work with humans, buy books about human behavior.

Be a winner
Have a winner attitude, do not go into a job just to settle with mediocre. Ask your manager what is expected of you if you want to succeed. Be curious about the best people, ask to learn from them and see them perform.

Be positive
Be a positive person, smile and try to be a team player. Be nice to your co-workers, management and most important always be nice to customers.

Work with goals
Talk to your manager about goals, what is a realistic goal for your job? When working with goals find time to evaluate along the way. Ask for a monthly follow up talk with your boss to discuss your progress.

Open your possibilities
Remember that one day you might want to quit your job, a good reference from this job will give you a head start on competition to the next job. I experience a lot of people that tend to forget this very part. If you slack around or worse if you get fired, it will be much harder to land the next job. A good reference from you manager might even replace education and you might find yourself in getting the next job instead of a better educated person with no experience. A good sales result might even land you more challenging and better sales jobs in the future.

Think long term
No employer will hire people that have had six jobs in two years. Try to stay at this job for two or three years at least. If you enjoy it stay for as long as you feel of course. This will be of great benefit in future pursuing of jobs.

Collect results
Good results in any job can get you far. Ask for monthly reports, quarterly reports, half year reports and yearly reports, and this report should contain your results compared to others, especially if you are a top 3 performer. You will be very valued by competition if you can provide such results.

Be humble and flexible and adjust
If you get feedback from management or co-workers understand what they are saying, and correct yourself if the feedback is negative. If you get a notice for arriving late for work, do not do that again. Why did you get this feedback and to what use is it for you? And if negative, what can you do to improve. By showing the ability to get negative feedback and changing your behavior you will experience strong goodwill from the people around you.

Our deepest fear is not that we are inadequate. Our deepest fear is that we are
powerful beyond measure. It is our light, not our darkness that most frightens
us.”

And then smile, have fun and enjoy.

How to use a post-it the right way

I personally hate post-it, these small yellow sticky pieces of paper that drown your cubicle. People tend to write small cryptic messages on them without signing them, so you can trace the sinner. Never write anything really important on a post-it note, it will most likely stick to some strange by passer, the back of a book or on the side of a bag, and strangely wander off into the wind. And a month later it finds its way back to you and you end up banging your head into the keyboard because you forgot the lunch with your boss, and that is why he acts up on you all the time. But I have found one useful way to use these little yellow with a great positive impact.

I appreciate you because…
A few days ago I wrote one post-it note to all my employees, they all started with these words: “I appreciate you because…” and I tried to write what I genuine appreciate about each one, all notes ended up differently, as all of them are appreciated for different reasons. I thought this was a fun thing to do at the office and I hoped it would make them smile for a while. This evening I was walking around at the office and noticed that several notes where hanging at their partition wall. And I started to realize that this really meant a lot for some of them. This is why I want to share this story so you as well can have a chance to create a little happiness at your work, and the best thing, you do not have to be a boss, as even a good note from a co-worker will light up someone’s day. All you need is a post-it notepad and a pen.

Some things I got in return:
• A post-it note saying that I am a great boss, signed by one entire shift.
• Two thank you e-mails.
• A smiling department.
• Two thank you handshakes.
• At least one confirmed very happy employee.
• A boost in the mood

So why wait? Put the post-it notes to use right now!

I am a believer. I believe in you!

I do believe in YOU! You are a fabulous pond of energy waiting to explode. You can do anything you want to. I believe that it is your right to be whatever you choose to be. As the opposite to a lot of other people around you, I believe that you can do it. There is only one obstacle between you and your dreams and that is you. If you want to open a door, and it is locked, do you give up? There are still other ways to get to the other side of this door, you can break it, you can choose another way around it, maybe through another door, or have you checked lately? Maybe the key is right there in your left pocket.

You are great, you are strong and you can succeed. But remember success is not fame, it is not money, it is not power and it is not influence. Success is steps, it’s learning to walk and it is about learning to walk at your pace in your style. I have never met anyone that have more luck in their life than any other, I have not met anyone more suited than other, I have not met anyone that are from the wrong or right neighborhood. I have met myself, and you deserve to meet yourself, the true potential of you. Do you now that right now out there; someone loves you, because you are special, not more special or less special than others, just special for them. You as well as all the other just like me and all the people you have ever met, was all born naked. There are unfortunately some that have more or less external blindfolds to block their view, but you are still strong, there is no reason why you should not be strong.

I have become a great believer in you. If you are ever alone, I will be sitting right here thinking of you and how great you are. There is nobody in the world that has the right to say that you don’t have it. Do you know, that right now, you have the possibility to choose? You can decide to smile; you can decide to be grumpy. It is your choice. Life is full of choices. Do you think some people are lucky, luckier than any others? Yes a very few are, but the majority take the right choices each day. You have a choice, and you have a consequence. You can have a great life, but you need to choose it. There is being positive, being negative, spending money, saving money, exercise or not to work out, love or hate. These and a lot more are all your choices. Even what you eat is your choice. You even read this by your choice and you can choose to believe in yourself. I want a shirt, a plain white shirt with big orange letters on the chest that goes: YOU!

It is not that easy you say? I agree because you have been thought that there are limitations, that there are rules that apply in society. But there is one thing in life that is free, and that is knowledge. You can choose to learn and grow. What you want to learn is up to you, I am sure that you can do it. Each day, every week, month and year that goes by, there is one thing that is always going to stay close, and that is you. This is your choice.

You are unique, and becoming a success can start right now. Just finish this sentence:
I choose to: _______________________ and it is my choice, I can do it because I am strong and I am worth it.

Then when you feel lost, read this again so you can remember that you are the boss. And success is in all the small choices you make each day.

How to stay positive when your company sucks

Do you feel like not going to work in the mornings? Is it hard to motivate yourself to repeating the same crap routine work over and over again? Why so negative? If your work sucks, your boss suck, your co-workers suck and your company suck, you might be heading into a motivational valley in the very near future. This could be a challenge to turn around as everybody else has a problem, or not you? Or am I wrong?

I believe that there is no such thing as a bad company, a bad leader, bad management, bad co-workers, bad hair days… It is just your perception of reality that is a bit screwed up. It all comes down to your own attitude towards everyday challenges. No, really? Yes, absolutely!

What is inside your head?
After reading Rao Srikumars great book – Are you ready to succeed? I realized that we have a little companion inside our very own mind. This little bastard is extremely negative, trying to show you everything that is wrong in your life. Just go to a park and sit down to watch the people around you, within a split second you might have made an opinion about everyone in sight. Chances are that most of the people have flaws, huge flaws that your little companion is trying to convince you are true. But if you think about it, you do not know the truth about these people at all and how could you? The same principle applies in all other aspects of your life.

Life is your choices!
It is always your choice to be positive. If you are a positive force, and implement positive energy into your job, co-workers and surroundings you will experience positivity in return. The trick is to be constructive to things you feel have a negative impact on you. It is not your right to try to make other people adapt a negative view that you are holding. Share positivity and strangle negativity. The point is that you can decide to have a great day at work, from the very moment you wake up in the morning. If you are in a rough spot right now, try to go to work tomorrow with one mission, to make as many happy people as you can, and later that evening try to reflect and think about what this exercise did to your own perception of your job.

12 things you could do.

  1. Serve coffee to fellow co-workers

  2. Buy a bowl of fruit/candy/biscuits and put on your desk for co-workers to enjoy.

  3. Make sure you brag about someone’s great job done, to at least 2 or more people.

  4. Smile all day!

  5. Talk about a great book you have read and own, and if someone is interested offer to loan it to this person.

  6. Write a post-it note to someone and thank them for anything positive they have done. Stick it on their desk/monitor before they arrive at work.

  7. Make sure to find a positive view on every topic discussed both professional and at breaks.

  8. If what you got to say is negative, shut up! Do not speak in a negative tone for the entire day.

  9. If you can help someone during the day, smile and just do it.

  10. Tell a joke.

  11. Enjoy your new day at the office, take 5 minutes in the middle of the day, just to reflect on the day so far, and try to figure out what to do next.

  12. And do your job with high quality. Be proud and focused.

Karma – What goes around…
A lot of people believe in Karma. What you do will come back to you. At work, this does work. If everybody makes an effort to create a positive aura around the office, there is a chance that several of your co-workers are trying to make you happy as well. And if you decide to be negative, you will attract those that agree, and they will feed you with negativity, you will be a crap magnet that experience a day at the office that suck.

Good luck to you, I am sure that you can change the energy!

Four keys to success! - Do you want to win?

Four keys to success! - Do you want to win?Imagine a naval army base that has just received their new delivery of three brand new destroyers. Let’s call them for USS Frode, USS Heimen and USS Norway for the fun of it. The crew that is supposed to be on these three vessels has all been trained at the same base, with the same officers in charge. The vessels are all equal only separated by their great and unequal names. After running on the seven seas for about a year, the following was stated: USS Frode managed as predicted, USS Norway have had a lot of problems with the engine and in general been far below expected standards and USS Heimen have been the most decorated vessel in the navy the last year. It was the pride of the base. The reason I am starting in a naval style today is that I am searching for the keys to success.

How can one business with great location be surpassed by a business placed in the more rural places of the city? What makes two similar companies different? Why did USS Norway fall behind? Why did USS Heimen end up a highly decorated vessel?

I have been thinking about this for a while, and yesterday I saw a TV-show on Travel Channel about historical railroads and trains. This time it was about a train in Canada where the steam locomotive was from about 1898. They interviewed one of the volunteer mechanics, and he said something that stuck to me; “When other train enthusiasts see this locomotive, I want them to say WOW!” – The train was spotless and shiny. He seemed extremely proud of his job on this train. This leads me to the first key to success; Being proud.

Being proud
As an employee you need to be proud of your job, to be able to shine. As a leader you need to create proud workers. Proud workers brag about their great job, they brag about how good their business is doing; they brag about how great their products and services are. They are proud to represent their company. Proud employees are good ambassadors for your image.
Still just being proud do not separate the good from the great, I am sure that the crew on all three vessels where proud from day one? What went wrong? And who is responsible for USS Norway’s repeating engine problems? This leads me to the next keyword; Responsibility.

Taking responsibility
Does the crew on USS Heimen demonstrate more responsibility than on the two other vessels? Most likely yes! I think the officers on the USS Heimen have been successful to develop a proud crew that is allowed to demonstrate a high level of responsibility. At your office, who is responsible for keeping the office tidy and clean? You? Your boss? Your co-workers? The cleaning staff? Or you don’t care, as long as someone else picks up your garbage? Fast rewind; back to the train mechanic; as he was being interviewed he was polishing away a spot on the engines side. The train should be spotless, even in the remote places that are out of view to the general public. USS Heimen did not contain dust and dirt where USS Norway was filthy. The crew took pride in keeping the destroyer in great shape. And it was everybody’s responsibility to keep it spotless, that resulting in not ignoring filth if they saw it, because someone else will pick it up.

If you take responsibility for your customers in the same way, you are on the way to retaining happy customers. You will not ignore what makes them unhappy because it is not your job, you will not leave a unhappy customers for others to handle, you will not accept that your store is untidy as you know it might create a bad impression on customers. If you walk by a dirty kitchen in your dining area at work, you will make it shine. You feel responsible for creating happiness around you, and you know the meaning of the word.

I define responsibility as a mental mode. This is something you can learn. It is your responsibility to contribute to happy customers, great co-workers, a great work environment, a tidy work sphere. You are responsible for being awake at work and doing your best to reach the goals and visions of the company. And ding ding, correct this leads me to the next thing that I believe is important; Clear goals and a vision.

A great vision is a roadmap to success.
As a leader you need to be able to demonstrate a vision and project this on to your employees. One of my favorite inspirations is a Norwegian author, advertising guru, consultant and soccer enthusiastic; Ingebrigt Steen Jensen. He wrote a book called “Ona Lighthouse” (I think it is only published in Norway) about creating a vision. He has been working for the Norwegian soccer club Stabæk for years since they were in lower divisions. And way back they had a vision about winning the Norwegian top division, and they did last season (2008). And a few years ago they created a new vision about playing the semi-finals of the European Championships at their new arena at Fornebu, Oslo. They have just built this arena, and established their new home venue before this season. And Ingebrigt have just been elected chairman of the board at Stabæk. The power of a great vision, proud members and people willing to take the responsibility pushed the vision into real life.

Still there is one last thing…
We have the roadmap, the route planned, we have proud people creating an engine and the mass is responsible for the results. But wait what if we get lost underway? And don’t know how to manage a crisis? The company needs to create a set of values to match their goals and visions. What kind of company is this? What kind of employees is needed? And what values are important to get us started? Ownership? Hardworking? Creative? Honest? Strong?
healthy? Knowledge? Clear values works as a compass on the roadmap, if you are stuck, the values might guide you forward. What values do you think the train mechanic has? He wants to preserve the old, share with others and is proud to show off a train that makes other enthusiasts go WOW!

This demonstrates four keys to success, pride, responsibility, a vision and values. I could write a lot more about the consequence of having responsibility. This is actually a huge and important subject, and unfortunately a lot of people try to run away from it; No, it’s not my fault, the product department did not inform us, the boss failed to mention it, how could I know, I have not had the time yet and so on. This is a disease that needs to be cured for the company to be able to succeed. There is a chance that at USS Norway someone noticed a strange sound from the engine room, and thought; “what is this sound? Oh well, the engine crew probably knows.” – While on USS Heimen, this would result in a person trying to figure it out and alerting someone who could fix it? The officers probably had a vision about a decorated vessel with proud men and women, and the officers probably knew what values to tech to the crew.

These keys to success are probably not the only ones, but this is the four things that I at this current time of my life define as the most important.
